Dally'd provides rodeo-management software to rodeo associations — scoring, entries, draws, day sheets, standings, and payout/tax reporting. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website and applications (the “Service”).

Plain-language summary: We collect only what’s needed to run rodeos for the association you participate in. We don’t sell your data. Contestants are often minors — their information is provided and managed by a parent/guardian or the association secretary, never by the child. Sensitive data (like SSNs used for tax forms) is encrypted.

Who controls your information

Dally'd is a multi-tenant platform. Each rodeo association that uses the Service is the controller of the information about its members and contestants; Dally'd acts as a processor that stores and processes that information on the association’s behalf. Requests to access, correct, or delete contestant records are typically handled by your association; we will assist them.

Information we collect

Account information

Email address — we use passwordless “magic link” sign-in. We do not collect or store passwords.
Family/guardian contact details (name, phone, city/state) provided when a parent sets up a family account.

Contestant and competition information

Contestant first/last name, date of birth, gender, age division, and member number.
Entries, run order, stock draws, scores, times, placings, and season standings.
Memberships and related checklist items (e.g., waiver on file).

Financial and tax information

Entry-fee and payout records.
For payout recipients who meet IRS reporting thresholds, a Taxpayer Identification Number (SSN/EIN) used solely to prepare 1099 tax forms. This value is encrypted at rest and access is logged.
When online payments are enabled, card details are handled by our payment processor (Stripe) and are never stored on Dally'd servers.

Technical information

Basic log and device data needed to operate and secure the Service. Our error-monitoring is configured to strip personal information (names, emails, dates of birth, tax IDs) before it is recorded.

Product feedback (designated reviewers only)

When we invite a specific person to review the Service, that reviewer can leave in-app feedback notes. A note may include a screenshot of the page being reviewed, an optional short voice recording, and the page location. A screenshot can incidentally capture information shown on screen. These captures are stored in the United States and are visible only to the reviewer who created them and to Dally'd administrators; they are used solely to improve the Service, are not shared for any other purpose, and are kept only as long as needed to act on the feedback.

How we use information

To run rodeos: entries, draws, scoring, day sheets, standings, and payouts.
To provide the family portal so parents can enter their children and view results.
To prepare required tax documents (1099s) for payout recipients.
To send transactional email (sign-in links, staff invites, confirmations).
To secure the Service, prevent abuse, and meet legal obligations.

We do not sell personal information, and we do not use it for third-party advertising.

Children’s privacy (COPPA)

The Service is designed for use by rodeo association staff and by parents/guardians — not by children directly. Many contestants are under 18, and some under 13. Dally'd does not knowingly allow children to create their own accounts or provide information to us directly.

A parent or legal guardian (or the association secretary acting on the family’s behalf) provides and manages a contestant’s information.
By adding a child as a contestant, the parent/guardian represents that they have the authority to provide that information and consent to its use as described here.
We collect only the child information needed to run the competition (name, date of birth for age division, gender, results).
Public results boards: a contestant’s name, age group/division, and competition results (times, scores, and placings) are shown on public results boards that anyone can view without an account — this is how spectators and family follow an event live and afterward, the same as a printed scoreboard at the arena. Dates of birth, contact details, documents, and SSNs are never shown on these public boards.
A parent/guardian may review, correct, or request deletion of their child’s information at any time by contacting their association or privacy@dallyd.com.

If you believe a child has provided us information without a parent/guardian, contact privacy@dallyd.com and we will delete it.

How we share information

With your association: contestant and competition data is visible to the staff of the association(s) you participate in. Associations are isolated from one another at the database level.
Service providers who help us operate the Service, under contract and only as needed: hosting and database (Supabase), application hosting (Vercel), transactional email (Resend), error monitoring (Sentry, with personal data scrubbed), and — when enabled — payments (Stripe).
Legal: when required by law or to protect rights, safety, and the integrity of the Service.

How we protect information

Passwordless authentication (magic links) — no passwords to steal.
Database-level access controls isolate each association’s data.
Sensitive tax identifiers are encrypted at rest, and every access is recorded in an audit log.
Data is processed and stored in the United States.

No system is perfectly secure, but we work to protect your information and to limit what we collect.

Data breaches

If a breach affects your personal information, we will notify the affected association without undue delay and — where required by law — affected individuals and authorities. Sensitive identifiers such as tax IDs are encrypted, which reduces the risk to that data.

Data retention

We keep information for as long as your association maintains its account and as needed for competition history, tax/legal recordkeeping, and dispute resolution. Associations may request deletion of records that are no longer required.

Your choices and rights

Access or correct your information — contact your association or privacy@dallyd.com.
Request deletion of personal information, subject to legal/tax retention requirements.
Opt out of non-essential email; transactional messages (like sign-in links) are required to use the Service.

Changes to this policy

We may update this policy as the Service evolves. Material changes will be posted here with a new effective date.
